SUBJECT : Campaign for Associate Members

Greetings Fellow JCI Members!
In an effort of our organization to boost for membership increase as well as in fortifying its financial condition we are encouraging LOMs to help us in our campaign for Associate Members. We strongly suggest that our members beyond JCI age of above forty (40) years old be tap and be given the chance and right to participate and avail the privileges given by our organization as provided in our Policy Manual which states that;
POLICY 3.3. ASSOCIATE MEMBERSHIP “Any reputable individual or any reputable entity desiring to assist financially in extending, promoting or implementing the purposes, functions, programs and activities of this Organization may be eligible for affiliation as an associate member upon the payment of the associate dues to the National Organization and shall be entitled to all the rights and privileges of a member except, the right to vote and be voted upon or be appointed to any position of chapter officer or its equivalent.
Upon the payment of the associate member’s annual dues, an Associate Member I.D. shall be issued. It follows however that the right and privileges of each associate member are accorded him only if he maintains it in good standing in the organization”.
This is also one way of honoring them for their achievements besides their status as elders and serve as advisers and more importantly to always keep a flame the JCI Spirit “Once a Jaycee, Always a Jaycee” among all past and present members.
In this regard, we are therefore appealing to all the LOMs to register Associate Members and can also earn corresponding points two (2) points for every paid associate member at P1,200.00 maximum of twenty (20) points in the JCIPEA program.

SUBJECT: CALL FOR NOMINATION FOR JCI PHILIPPINES AWARDS JUDGE

Dear Everyone,
Last May 23 and 24, your National Records and Recognition Commission held its Assembly and Planning Session at JCI Philippines Headquarters. The 2009 NRRC team aimed to chart a unique breakthrough for JCI Philippines Awards Program in a hope to establish improvements that will address previous years learning and challenges and at the same time answer the call for transparency, integrity and prestige of our awards program.
URGENT CALL FOR NOMINATION FOR AWARDS JUDGE
We encourage chapters to nominate an AWARDS JUDGE for the 2009 JCI Philippines Awards Program. Some fifteen (15) judges are needed for each area for this year and all nominees will go through certification process which will be administered by the team. This will hopefully prepare them for the evaluation of bids in August. Attached herewith is the NOMINATION FORM and kindly take note of the requirements. Please email this to my email address gbdasmarinas@bayan.com.ph on or before June 15, 2009.
JCI PHILIPPINES AWARDS SCHEDULES & OTHER CHANGES
1. Pre-entry bids are NO LONGER NEEDED starting this year. Chapters can go on uploading the scrapbooks and bids for any of the awards category.
2. We urge chapters to prepare and submit bids for AREA TEMYONG AWARDS. JCI World Awards should be your ultimate goal and the Area Award is your preliminary step.
3. To better prepare everyone we will OPEN EARLY the uploading for your respective scrapbooks – June 15, 2009
4. DEADLINE for uploading:
a. Area Conference August 9 (Sunday) 12MN
b. National Convention: September 13 (Sunday) 12MN
YOU BID TO WIN and winning an award not only require preparation of scrapbook, complete documentation and excellent writing skill but HIGH QUALITY EXECUTION OF PROJECTS. The JCI Awards is the best recognition of outstanding performance of chapters and individuals.

It has been a successful year for our JCI Week 2009. I would like to thank
you for making this project a memorable one. But, its not over yet. We
have one last job to do, OUR Report.
This is to inform you that our deadline for submission of Project
Completion Report is on May 30, 2009. If you have planted trees in your
project, please indicate the number of pieces. Aside from uploading your
reports to our E-Reporting, JCI Secretariat is requiring you to send a hard
copy of Completion Report and 2 developed pictures ( 1 copy of JCI
Week-Mang Inasal Tarp with members & 1 copy of Green Project).
Again, Thank you for your support to our Organization.

SUBJECT : VRF Deadline of Submission

Greetings Fellow JCI Members!
Our simultaneous Area Conferences will be held on September 4-6, 2009 is fast approaching. As we all know it is during this affair that the will be having our national elections every year. To date we are now on our way on the necessary preparations for said much awaited election this year that will once again give us the opportunity of choosing our new set of leaders or national officers for next year. As a prerequisite to the exercise of our right of suffrage, voting delegates must first qualify by observing duly mandated procedures in regards to the submission of the Voters Registration Form (VRF).
At this point please be informed that in compliance with Article IV, Sec. 18 of the JCIP Constitution and By-Laws the deadline for submission of the Voters Registration Form (VRF) is on May 31 of every year. In addition per Sec.12 of the 2003 National Election Code which states that “xxx....If the VRF is sent thru mail, the date of mailing shall be considered as the date of filing and if sent via commercial courier the date of actual receipt of the VRF shall be considered as the date of filing will also be strictly enforced.
Kindly take note that said forms must be duly accomplished with the following requirements as stated below;
1. Five (5) copies of 1” x 1” ID pictures
2. Signatures of all voting delegates
3. Birthdates of all voting delegates; and
4. VRF Forms duly notarized by a Notary Public
For purposes of clarification only LOMs that are in good standing who had paid their dues in two consecutive years on or before the March 30, 2009 deadline with a minimum of 25 members can have voting rights. As a second requirement, they must submit their VRF on or before May 31 deadline in order for their voting delegates to be qualified and accredited. However, those LOMs who were not able beat the March 30 deadline can still submit their VRFs and corresponding points in the JCIPEA will be credited to the LOM.
The VRF Form is hereby attached to this circular and also available in the LOM Presidents CDs that were distributed to LOM Presidents or you can download it in the JCI Philippines website www.jciphilippines.com.

Greetings Fellow JCI Members!
As we bring our organization to a level wherein we harness the benefits of modern technology, we encourage chapter to use the Online Reporting System
The system is now accessible directly to our new website www.jciphilippines.com
Attached herewith is the quick guide on how to use it. We also attached the JCIPEA Guidelines as of April 7 with its guide on which document to report including the Project Completion Report to which we use in attaching our supporting documents for JCIPEA crediting.
Some quick facts and tips:
- Pictures that you may have attached may be too big. Please ensure that the total file that you attach is 3MB and below. If it goes beyond, please check the file size of the digital pictures.
- To resize your picture, you can use Microsoft Office Picture Manage, this is mostly available in most PCs. Us the compress facility. You can also use other means to reduce you picture to between 300kb size
- Maximum number of Local Projects you can enter per month is 5. If you more that 5, you can create another report after sending the first one.
- For seminars and training that you attended, use the specific report window. Similar also for the others like, trainings conducted by your trainers and GMM attendance sheet.
- Please ensure that you change your password using edit profile. In case you forgot it email nom@philjaycees.com
- If you wish to track those that you sent, you can check the My Reports subfolder
- Once approved by your respective NVP you will see Approved.
- In the My JCIPEA Tracker, you can also see if points are credit. Our secretariat will start doing the credit by May 2009.
Please take note that effective April 1, 2009, all reports shall be submitted to JCI Philippines Headquarters except the following:
- Voters Registration form
- Payments for membership Dues
- Official Membership List
- Official 2009 Local Organization Presidents Profile
Other facility of the system is also available such as Membership Database Entry, Awards, Sisterhood Pacts and List of Past Presidents are now available for you to input.
